Worbita is where a property manager, a facilities team, or a business with more than one location files a work order and follows it to a sealed record. FILE IT WHERE THE WORK IS Scan the QR label on a door or a piece of equipment and the work order is already attached to that building and that room. No label in front of you? Type the code instead — that is a first-class path, not a fallback, because labels get scuffed and hands get gloved. Or file from the register and pick the site yourself. ROUTED TO A VENDOR YOU ALREADY USE Each work order goes to a vendor from your own directory, chosen by your own routing rules: a category, optionally a site, first match wins. The create form shows you which vendor it will go to before you file it. YOUR VENDORS NEED NO ACCOUNT The vendor receives a formatted email from your organization, and everything they need to do can be done by replying to it — accepting the job, giving an arrival time, saying they cannot take it, sending a photo, marking the work done. There is also a link in that email that opens one page for that one work order, with buttons instead of typing. It is a convenience, not a requirement. Vendors never create an account, never choose a password, and never install anything. IN THE LANGUAGE THEY WORK IN Each vendor in your directory is marked English or Spanish, and that setting decides the language of every message they receive and every page they open. The work order itself never changes; you file it once. (Worbita's own interface is English.) IT NOTICES WHEN A VENDOR GOES QUIET Set how many hours of silence is too many. Past that, Worbita sends the vendor a reminder with a fresh link. If that also goes unanswered, it tells you — by name, with how long it has actually been. Then it stops: there is no third reminder, because a timer that keeps firing teaches people to ignore it. It also knows the difference between silence and a plan. A vendor who has given you an arrival time is not chased before it arrives, and a work order somebody deliberately put on hold is not chased at all. EVERY WORK ORDER IS A RECORD, NOT A STATUS FIELD Each status change, comment, email in or out, photo and automatic action is appended to the work order as a numbered entry naming who did it and when. Nothing is ever edited or deleted. The vendor sees the same record you do, with the same entry numbers; entries internal to your organization appear on their copy as numbered placeholders rather than vanishing, so neither side is shown a version with a gap in it.
