CoachFlow is the back office of a coaching practice: one diary, one client list, one rate card, and a statement at the end of the month that is already right. FOR COACHES A diary for each coach. A practice can hold several coaches, so two colleagues may work the same hour while nobody is booked into two places at once. Availability, one-off sessions, recurring appointments and group sessions. A group is a group by its rate, not by its headcount, and each participant is priced and billed on their own. Rate cards with per-client and per-dependant overrides. The price is snapshotted when the session is booked, so a new rate never rewrites past work. Monthly statements in the practice's name. Issue locks the lines; a correction is a credit note, never a silent edit. The statement is a PDF you download and send yourself, and you can re-send its email. VAT the way South Africa expects it: effective-dated, VAT-inclusive by default, never charged by assumption, and captured with the practice's own VAT status and number. Session reminders that wait for the morning instead of arriving at two in the morning. A public holiday flags the day and tells you about a session sitting on it, without ever blocking the booking. Ratings left by clients, shown as an average per coach, with no client name and no comment on any document. FOR CLIENTS Your sessions: when, with whom, and who is going. Ask your coach for a time; they confirm it. Move or cancel outside the twenty-four-hour window, choosing only from times that are genuinely free. Pay a statement from the link in its email, for exactly what is outstanding when you open it. Enrol dependants on your own record. A family bills to one statement, and an adult dependant can be given the household's own access. MONEY Each practice is its own merchant. Payments are made with Payfast; CoachFlow never sees card details and takes no part of the payment. The prices, the cancellation policy and every statement come from your practice, which is who you pay and who answers a question about it. LANGUAGES English and French throughout, with South African and Senegalese formats for dates, times, numbers and money. Nothing you type is ever machine-translated. ACCESS CoachFlow is used by invitation. A practice owner is invited by us; coaches and clients are invited by their practice. There is no public sign-up, and signing in with an address nobody has invited shows a neutral page and nothing else.
