1. Company Setup The administrator registers their company with a logo, brand colors, sites/clients, and the equipment (machinery, systems) for each—name, brand, model, serial number, inventory number, and location. 2. Report Templates Each company creates its own report formats: custom sections and fields (text, photos, checklists, tables, signatures, etc.), or installs a pre-made template from the Template Gallery (maintenance, installation, repair, certifications, inspection checklists, construction, etc.). A template can be edited or removed at any time. 3. Capturing a Report in the Field The technician selects a template, site, and equipment, and fills in the defined fields—they can omit optional sections, add photos from a camera or gallery, and record voice notes. Everything is linked to the specific equipment, along with its accumulated history. 4. Signature and Closure Upon completion, the technician and client representative sign on screen (digital signature), including the date and time of delivery—this serves as proof of satisfaction with the work performed. 5. PDF Generation A PDF is automatically generated using this data, featuring the company's design and branding: header with logo/reference number, client and equipment information, completed sections, photographic evidence, and signatures—ready to print, share, or send via WhatsApp/email. 6. History and Tracking All reports are searchable and filterable by company, equipment, or reference number, with their own history for each piece of equipment—useful for reviewing previous maintenance before scheduling a new one. 7. Bulk Export Multiple reports can be selected at once (from any template or equipment) and downloaded together in a single .zip file with a customizable name, allowing for simultaneous sending.
